Give an Extension Login Portal Access

An extension user can use their existing login to access any additional portal areas you allow. You do not need to create a second portal user for the same person.
Only an account administrator or a user with permission to manage Portal Access can change these settings.

Give access from an extension

Navigate: Extension Management
Step 1: Find the required extension and open its management page.

Step 2: Find Manage Portal Access and select it.

Step 3: Select Access Details.

Step 4: Review the Contact Email. These fields are read-only because they belong to the existing extension login.

Step 5: Review the Extension, First Name and Last Name, and update them if required. Enter a new Password only if you want to change the current password.
Step 6: Under Access Settings, select the additional portal areas the user can access.

Step 7: Select Update.
The user can continue signing in with their existing extension username and password. The additional portal options will appear the next time their access is loaded.

Manage extension access from Portal Access

Navigate: Settings > Portal Access
Find the required extension login.
Step 1: Select Manage.

Step 2: Review or update the information under Access Details, then update the permissions under Access Settings.
Step 3: Select Update.
The Contact Email is read-only. You can update the Extension, First Name and Last Name, or enter a new Password if the current password needs to be changed.

Remove additional portal access

Navigate: Settings > Portal Access
To remove the additional permissions from an extension login:
Step 1: Find and select the delete icon.

Step 2: Review the Remove Access confirmation.

Step 3: Confirm the removal.
This removes only the additional portal menus granted to the extension. It does not delete the extension login and normal extension access.

Important information

  • Use the existing extension login instead of creating another portal user for the same extension.
  • Grant only the portal areas the user needs.
  • Removing additional portal access does not change the extension's password.
  • A user cannot use the Portal Access page to give themselves more permissions unless they have already been authorized to manage Portal Access.
