Hosted Voice
The platform’s device management enables you to provision certain hardware automatically by just plugging the device to your internet connection.

When you navigate to Device Management and select Provisioning Parameters, you will see some default settings that you can set when auto provisioning devices. These are:
Default Dial Plan Scheme
This setting allows you to set auto-dial and configure timeout-based dialing for VoIP phones that support this kind of dialing. These settings are used by the phone and not the system . The scheme setting allows you to tell the system how many numbers your extensions contain (either 2, 3, or 4 digits). This will initiate automatic dialing once the required number of digits has been entered. If your extensions are all 3 digits long and include only digits 2 through 7, you should choose 3-digit extensions [2-7]xx. Then if a user dials 201, the system will identify that an extension has been dialed and will not wait for more digits. If NA is set and the country code 1 is used, then anytime someone dials 1, the system will know to dial that country. For this reason, extensions should not begin with a 1.
User must press enter: When this scheme is selected, the user of the extension will be required to press the confirm button on the phone before the dialing will begin. This behavior is similar to cell phones, where users are required to press the green send button. This scheme can prevent problems because it is difficult to predict how many digits the phone must collect before it has enough digits for a complete number.

TIP
Most users today know how to dial a number on the cell phone. It is usually easier to tell users to just dial the number (without any prefix) and then press the "enter" key on the phone. This will avoid all complications with the numbering of extensions and possible overlaps.
When the user is located in Australia, the length of the number is predictable for national calls and calls of other extensions. However, calls to international destinations or star codes are difficult to predict, so users will be required to press the confirm button to start the call.
For other countries, the "Europe" scheme might be appropriate. As with the rest of the world outside of Australia, the length of a telephone number is practically unpredictable and users will be required to press the confirm button to start the call. The "Europe" scheme will dial automatically only if the destination is another extension.
Username / Password
When provisioning phones, the PBX will put the username and password into the VoIP phones. The administrator will then be able to log in to those phones, typically into the web interface.
PIN
Some device like Snom VoIP phones require an additional secret to get into the administrator mode. This is the "PIN" which, like the password, is set randomly during installation and can be changed later.
Below are the brands that are currently supported. We will continue to be adding more brands and models in the near future.
Yealink

If you are connected to older versions of our Hosted Voice platform, auto provisioning is no longer supported for Yealink through the use of the portal. Please contact our support team as it requires manual intervention.

Supported Devices and Features

Please check on the portal to have the most up-to-date models supported.
When using auto provisioning, some of the supported features are:
  • Basic call features including transfer, hold and voicemail notification
  • Status synchronization of the DND and redirection status
  • BLF mode for buttons
  • Time zone settings etc.

Factory Default a Yealink Phone

Before starting, make sure that your Yealink phone is factory reset before going any further.
To reset a Yealink phone to factory default settings, hold down the "OK" button for 5-10 seconds. The phone will prompt you to reset to factory default, press OK. For devices that don't have an "Ok" button like the T58 model, use the redial button.

Adding a Device

Navigate to Settings > Device Management. There are 2 ways that you can add and/or auto provision a device.
Bulk Uploading
Click on the Upload Bulk Device button and upload a csv file. This will automatically add multiple devices to your account.
You can use the below template to assist with the upload.

Manually Add a Device

Name: You can give the device a descriptive name
Extension: Select which extension you want configured to this device. If the device supports multiple accounts, you can select multiple account to be provisioned on this device.
MAC Address: Enter the MAC address of the device
Serial Number: For further inventory management, you must enter the device’s serial number
Brand: Select the manufacturer of the device
Model: Select the model number of the device

Manual Provisioning
When provisioning your Yealink device, you should first ensure that the username and password has been setup as discussed in this topic - Username / Password
This is the username and password to get into the GUI of the phone, AFTER it provisions.

  1. Log into the web interface of the device and navigate to Upgrade > Advanced. In newer models, it may say Settings and Auto Provision. In Server URL, add the URL of your PBX.

  1. Make sure that the Power On is enabled.
  2. You do not need to reboot the device for provisioning. You can just click on the Autoprovision Now button to push the settings to the device.

Provisioning Using RPS (Auto)
Once a device has been added to the inventory, you can now begin provisioning the device.
First, you will need to ensure that your device is connected to power and is turned on. Also ensure that the device is connected to the internet as it will need to download the configuration files.
Once both power and internet is connected, you will need to click on the Provision button. This will start a 30 minutes countdown where, if you have not turned on or connected device, you have this amount of time to do so.
This is a security measure where the platform will look for your device’s MAC Address over on the internet. Once it locates your device, it will start downloading the extension profile. This usually takes several seconds to complete.
Once completed, your device will reboot itself and once it is back on, your setup has been completed.

Re-Provision a Device

In some rare instances, where there is an error on the device, you can always use the Reprovision button to resend the configuration file to device.
Poly

Supported Devices and Features

The platform supports provisioning Polycom phones VVX101, VVX201, VVX300, VVX301, VVX310, VVX311, VVX400, VVX401, VVX410, VVX411, SPIP300, SPIP301, SPIP320, SPIP330, SPIP321, SPIP331, SPIP335, SPIP430, SPIP450, SPIP500, SPIP501, SPIP550, SPIP560, SPIP600, SPIP601, SPIP650, SPIP670, SSIP4000, SSIP5000, SSIP6000 and SSIP7000.

Adding a Device

Navigate to Settings > Device Management. There are 2 ways that you can add and/or auto provision a device.

Provisioning

When provisioning your Poly device, you should first ensure that the username and password has been setup as discussed in this topic - Username / Password
This is the username and password to get into the GUI of the phone, AFTER it provisions.

  1. Log into the web interface of the device and navigate to Settings > Provisioning Server > Server Address
  2. Under Server Type, select HTTPS
  3. Under Server Address, enter your PBX domain which can be found here:

  4. The just save and reboot.

Polycom VVX 300/310/400/410 Reboot & Factory Reset

Pressing multiple key combinations enable you to perform certain operations on the VVX 300, 310, 400, and 410 phones. The multiple key combinations on theVVX 300, 310, 400, and 410 phones are as follows:
  • Reboot the Phone—Press and hold the dial pad keys 0, 1, and 3 simultaneously for about three seconds , or until you hear a confirmation tone.
  • Restore Factory Defaults—Press and hold the dial pad keys 1, 3, and 5 simultaneously during the Updater process until the password prompt appears. Enter the administrator password to initiate the reset. Resetting to factory defaults will also reset the administrator password to 456.

Check Device Provisioning Status and Connection

Use Device Management to check whether an assigned phone has contacted Hosted PBX through auto provisioning.

Open Device Management

Step 1: Sign in to the Hosted PBX portal.
Step 2: Go to Settings > Device Management.

Step 3: Locate the device using the Brand, MAC Address, Serial Number, or Extension filter.

You can also go to Extension / User and select the MAC address shown beside an extension. This opens Device Management with the device list filtered for that extension.

Check whether the device has connected

Review the following columns in the Assigned Devices table:
  • Address: Shows the IP address reported when the phone contacts the provisioning service. A populated Address is the main indication that the device has connected through auto provisioning.
  • Version: Shows the device firmware version reported by the phone.
  • RPS: Shows the date returned for the device's RPS record, where available.
  • Extension: Shows the extension assigned to the device.
  • Provision: Shows a countdown while the provisioning window is active.
If the Provision countdown is running but Address is blank, the provisioning window is open but the phone has not yet contacted the service.

The Provision countdown shows that provisioning is available for the device. It does not confirm that the extension is actively registered for calls.

Check the active registration

After the device has provisioned, check its current registration to confirm that the phone or app is connected to the extension:
Step 1: Go to Extension / User.

Step 2: Open the required extension.
Step 3: Select Registration.

Step 4: Review the Current Registration section.
An active record shows the contact, device, expiry, type, and extension target. If there is no active record, the page shows You have no registration.

If the device has not connected

Check that:
  • The phone is powered on and connected to the network.
  • The MAC address in Device Management matches the phone.
  • The correct brand, model, and extension are assigned.
  • The provisioning window is active.
To restart the provisioning process, select Edit beside the device, then use Start or Reprovision as required. Reboot the phone so it can request its configuration again.
