Address Book

SMS
An address book is a saved list of contacts you can send an SMS or a campaign to. Each contact has a phone number and can also have a first name, last name, company and four custom fields, which you can use to personalise your messages.
Navigate: Address Book

Create an address book

Step 1: Go to Address Book and select New address book.
Step 2: Enter a Name (up to 100 characters).
Step 3: Optional: under Contacts, choose or drag in a CSV or Excel file. The file is checked straight away. You will see how many phone numbers are ready to import, or a list of the rows that need fixing.
Step 4: Select Create address book. The new address book opens with a message such as "Address book created with 45 contacts."

⚠️
Nothing is half-imported. If any row has a phone number that can't be used, nothing from the file is imported. Fix the rows listed and choose the file again.
No file yet? Leave Contacts empty, create the address book, and add or import contacts later.

Prepare your file

  • Number (required): the mobile number with its country code, for example 61491570006 or +61 491 570 006. Spaces, dashes, dots and brackets are fine. 8 to 15 digits.
  • First Name, Last Name and Company: optional.
  • Custom 1 to Custom 4: optional. Anything you want to use in a message, such as an appointment time.
  • Keep the columns in this order. A heading row is fine; it is skipped. Blank rows are skipped too.
  • In Excel, format the number column as Text before you enter the numbers, so long numbers don't turn into 6.14E+10.
  • Select Download the template under the file picker to start from the right layout.
  • A file can be up to 2 MB and 50,000 rows.
  • Importing into an existing address book adds the file's contacts. Existing contacts aren't changed and duplicates aren't removed.

Work with contacts

Select Open on an address book to see its contacts, 20 per page, newest first.

Search

Type a name, company or number in the search box (2). You can type numbers the way you'd say them, for example 0491 570 006 or +61 491 570 006. Custom fields aren't searched. Select Show all to clear the search.

Add, change or delete a contact

  • Add contact (1) opens a short form. The phone number is required and must have 8 to 15 digits.
  • Manage (3) next to a contact lets you change their details. When you save, you return to the address book.
  • The red bin icon deletes a contact. The confirmation shows the number, and the name if there is one, so you can check it's the right person.

Opted out contacts

A contact whose number is on your Opt-outs list shows a red Opted out badge. They stay in the address book, but marketing campaigns skip them.

Import more contacts or download the list

  • Import CSV / Excel adds contacts from another file to this address book.
  • Download CSV downloads the whole address book in the same layout as the template.

Manage your address books

The Address Book page lists every address book with its number of contacts, from A to Z.
  • Sort: select the Name or Contacts heading. Select it again to reverse the order.
  • Rename: select the pencil next to the name, type the new name and press Enter. Press Escape to cancel.
  • Search: type in the search box to find an address book by name.
  • CSV: downloads that address book.
  • Delete: select the red bin icon. The confirmation names the address book and how many contacts will be deleted with it. This can't be undone.

Address books used by a campaign

While a campaign is waiting to send to an address book, or is sending to it, the address book can't be deleted. You can still open it, rename it, download it, and add, change or delete contacts.

  • To delete the address book, cancel the campaign under Campaign > Scheduled Campaign, or wait until it has sent.
  • If the address book is empty while a campaign is waiting, a yellow warning tells you nobody will get it. Add contacts or cancel the campaign.
  • Once a campaign has started sending, deleting a contact may not stop a message that is already on its way.

Limits

  • Address book name: up to 100 characters.
  • File: CSV or Excel, up to 2 MB and 50,000 rows.
  • Phone number: 8 to 15 digits.
  • Contacts per page: 20.

Common questions

My file says some rows have a phone number that can't be used

Each row listed needs a number with 8 to 15 digits and its country code. Words such as "mobile" or "ext" next to a number make the row unusable. Fix or delete those rows and choose the file again.

Long numbers turned into 6.14E+10 in Excel

Excel changed them when the file was saved. Format the number column as Text, enter or paste the numbers again, and save.

Why can't I delete an address book?

A campaign is waiting to send to it, or is sending. The list shows which campaign. Cancel it under Campaign > Scheduled Campaign, or wait until it has sent.

Does importing the same file twice create duplicates?

Yes. Every row is added. To start again, create a new address book from the corrected file.
